Let's dive in.
It’s free, and it strengthens the collective knowledge of our global community.
Multiple WBS vs Grouping
Multiple WBS vs Grouping
What is the difference between having multiple Work Breakdown Structures (WBS) and having multiple ways to group activities?
This is one of the challenging topics we discuss in our Planning & Scheduling masterclasses because, on the surface, the two approaches can look very similar.
In both cases, the underlying activities and logic remain unchanged, and both methods provide alternative perspectives to analyse project delivery models but there is an important distinction:
A WBS is a grouping structure, but not every grouping structure is a WBS.

The activities that matter, every update, one page - the variance heatmap
The variance heatmap in SMACT® takes the activities you decide are worth watching and lays them against every schedule update you have issued. Each cell carries the date and the variance since the update before it, shaded by how far it slipped, so the pattern lands before anyone reads a single number.
- Select what matters. Pick the activities worth watching, define and group them however you want, and pull them in from Excel if that is where they already live.
- Let the colour do the work. Pull ins sit plain, slips shade amber through red as they grow, and actuals are flagged so finished scope stops competing for attention.
- Put it straight in the report. Print or export the heatmap and drop it into your monthly pack as it is.
One slip is an excuse. Six in a row is a trend.
Build a variance heatmap free for 7 days. Bring your updates in as XER, MPP or XML, no credit card, no commitment, cancel any time.
Build a heatmap from your own updates...

Make use of historical data to become true learning organization
Every project is a chance to learn, but too many organizations make poor use of their historical data to become true learning organizations. Without a structured historical database, project teams can easily repeat the same mistakes, make inaccurate risk assumptions, and miss opportunities to optimize future schedules.
This article explains how empirical data, lessons learned, project closeout records, and centralized historical databases can help teams develop more accurate and evidence-based schedules. The value is not simply in collecting information, it is in validating, organizing, and applying it to future decisions.
For Developers, Owners, Contractors, Planners, Schedulers, and Project Controls Professionals, using historical execution data can strengthen duration estimates, resource planning, procurement assumptions, and risk mitigation across future projects.
Read the full article to explore how past project performance can become a practical scheduling advantage, and let me know how your team captures and reuses lessons from completed projects.

IAMTech Knowledge: Two planners. Same job. Two different estimates.
It happens on every shutdown planning team, in every industry. Not because planners don’t know their craft — but because every experienced planner carries their own norms, their own assumptions, their own bias.
AI doesn’t replace the planner’s judgement. It standardises the baseline.

Thirty years experience. P6 expertise. Major projects under your belt. And still no job interview?
Thirty years of experience. Primavera P6 expertise. Major projects under your belt. And still no job interview?
That’s the uncomfortable reality many experienced P6 planners are facing: landing a good senior project planner role isn’t always easy these days. Being good at the job is no longer enough; you also need to make it immediately obvious why a recruiter should choose you for the client. Remember, most recruiters are intermediaries in a business transaction; their job is to understand what the client needs, identify the right candidate and bring the two together. Make their job easier by making your P6 experience, sector knowledge and value immediately obvious.
As LinkedIn’s current UK P6 job listings show hundreds of vacancies, particularly at mid-to-senior level, demand for Primavera P6 skills is clearly still there. However, current adverts increasingly ask for more than P6; employers want project controls, critical-path analysis, forecasting, change control, sector experience, and the ability to influence stakeholders and decision-making clearly demonstrated on our CVs
Over the years, I’ve reviewed many planners’ CVs and supplied my CV to various recruiters. I’ve learnt that a CV should show the actual difference you made. You may say that you’ve updated the P6 programmes, produced weekly reports, attended progress meetings and maintained the schedule. Those may all be true, but they don't show whether you are the senior planner I want sitting beside the project manager when a £50 million programme starts slipping.
So, how do you make yourself stand out?
By presenting yourself in the best possible light, telling the truth, and aligning your CV with clients’ expectations. Here are my seven gold dust CV tips for P6 Planners:
- ANSWER THE JOB REQUIREMENTS — WHAT DOES THE CLIENT ACTUALLY WANT?
Please don't start by asking: “What do I want to tell them about me?” Start with: “What problem does this client need me to solve?” Read the job description carefully. Are they looking for someone to build an integrated master schedule from scratch? Manage an established baseline? Integrate contractor programmes? Undertake critical-path analysis? Work under NEC3/4 contracts? Control change? Produce executive reporting? Develop recovery programmes? Then make the evidence obvious. If they ask for change control, show your change-control experience. If they ask for major infrastructure, show your infrastructure projects and their scale. If they ask for recovery planning, tell them what you recovered. Don't send the same generic CV to twenty different jobs. Answer the requirements of this specific one.
- SHOW OWNERSHIP — DID YOU OWN THE SCHEDULE OR JUST UPDATE IT?
There is a big difference between updating a schedule and owning an integrated project schedule you created. Did you build the programme from scratch? Develop the WBS? Establish the logic? Set calendars? Integrate contractor schedules? Develop the baseline? Lead progress meetings? Challenge dates? Analyse the critical path? Forecast completion? So, you need to literally say this. Don't simply write: “Responsible for updating Primavera P6.” Tell me what you actually owned.
- DEMONSTRATE IMPACT — WHAT CHANGED BECAUSE YOU WERE THERE?
Don't just tell me what you produced. Tell me what happened because you produced it. Instead of: “Produced weekly critical-path reports.” Show: “Conducted critical path analysis identified emerging six-week slippage to commissioning, enabling the project team to develop and implement a recovery programme.” For every major project on your CV, answer with confidence: What was the challenge? What did I do? What changed as a result?
- SHOW SCALE, COMPLEXITY AND SECTOR EXPERIENCE
Saying that you were a senior planner isn't enough. Give us the context of the whole project. Was it construction, rail, defence, infrastructure, utilities, energy, nuclear, technology or ERP systems? Then give us scale: it was the £450 million programme with a 20,000-activity integrated schedule spread over five years, with 15 contractor schedules.
- PROVE YOU UNDERSTAND PROJECT CONTROLS AND CHANGE CONTROL
Senior P6 planning is about more than bars on a Gantt chart, no matter how colourful these are. The great schedule interacts with cost, risk, resources, change, contracts, performance and commercial outcomes. Show your experience of baseline management, forecasting, Earned Value Management, schedule assurance, risk, change control, impact assessment, delay analysis, recovery planning and scenario modelling where relevant.
- SHOW YOUR TECHNICAL SKILLS, QUALIFICATIONS AND DEVELOPMENT
Make Primavera P6 impacts visible. Then show the other systems you genuinely know: Oracle Primavera Cloud, Asta Powerproject, Microsoft Project, Power BI, Excel or other relevant project-controls tools. Do include your professional qualifications, chartered status, memberships and relevant courses in areas such as Primavera P6, project controls, scheduling, EVM, risk, cost, change control, contracts and delay analysis.
- COMMUNICATE YOUR VALUE — AND BUILD YOUR GOLD-DUST NETWORK
Your CV and LinkedIn profile should be aligned, telling the same professional story. Within thirty seconds, I should understand what kind of planner you are, which sectors you have worked in, how strong your P6 experience is, and what size and complexity of programmes you have controlled. And don't wait until your contract ends before you start networking. Follow recruiters on social media who specialise in your sectors, and do so politely and professionally. Connect with recruiters rather than immediately asking them for a job. Follow the companies and projects that interest you. Use our wonderful planning planet platform. Most importantly, connect with like-minded professionals. Because today's fellow planner may be tomorrow's planning manager; today's project manager may become tomorrow's programme director. And one day somebody in that network may simply say: “I know a very good P6 planner for your new project, pure gold dust – call them!”
Build your experience. Show your evidence on your CV. Grow your network. Stay connected. You’ve got this!
